Publications Coordinator

The Saskatchewan Writers’ Guild is a not-for-profit provincial cultural organization. The SWG is an advocate and educator who welcomes and encourages member participation while fostering diversity and inclusiveness.

 

Publications Coordinator

The Saskatchewan Writers’ Guild (SWG) seeks a candidate to fill a 30-hour-per-week permanent position as Publications Coordinator. The Publications Coordinator is an experienced and dynamic individual, with strong communications expertise, combined with editing, graphic design, layout and design skills. The Publications Coordinator ensures SWG communications with members, media, funding bodies, and the public effectively, and that all publications of the Guild are produced in a timely and professional manner.

 

Position Description

The Publications Coordinator for the SWG is the editor of Freelance and is responsible for the coordination, graphic design and layout for all SWG publications and marketing/posters. This full-time in-scope position provides essential support to this provincial non-profit arts organization, which offers numerous programs and services for writers throughout Saskatchewan. The position reports directly to the Executive Director and works in collaboration with other Guild staff, and is based in the Regina office. This programming position requires the ability to work occasional, flexible hours. 

 

Expectations:

  • Manage layout and design of all Guild publications, including the weekly email newsletter, Ebriefs
  • Oversee and gather appropriate material for each publication, in advance of publication dates
  • Manage and coordinate contributors and their works for publication in Freelance
  • Manage and coordinate the design and layout of Windscript and Spring in conjunction with editors, program manager and coordinator.
  • Edit and proof Freelance after layout
  • Coordinate with printers to publish and disseminate publications and other materials
  • Post all publications on the Guild website in the Member Area (with the exception of Grain) and recent covers, including Grain, on the open publication section of the Guild website
  • Design and produce brochures, posters, and other printed materials as needed to support all Guild programs
  • Edit and proofread all material prior to layout (currently similar to the Chicago Style)
  • Communication support for operations and programming
  • Administer and develop advertising sales/ad swaps for all publications, as required
  • Manage and oversee hiring of proofreaders
  • Oversee budgets for various publications
  • Supervise the work of writers, editors, artists, photographers and printers
  • Other duties as assigned

 

Qualifications:

  • Extensive communications experience, including planning, graphic design, layout, and production of print communications
  • Knowledge of InDesign, Photoshop and Illustrator, Canva, and Mailchimp is essential; Microsoft Suite: Word, PowerPoint, and Excel is an asset
  • Excellent verbal and written communication skills
  • Extensive experience in copyediting and proofreading
  • Ability to manage multiple projects concurrently, and to establish priorities
  • Excellent problem-solving, organizational, and time management skills, and the ability to work independently with little supervision
  • Ability to work cooperatively and effectively with internal and external partners
  • Ability to be flexible and adapt to fluctuating responsibilities
  • Knowledge of budgets for production expenditures
  • Knowledge of editorial management
  • Experience in website maintenance
  • Knowledge of social media and marketing platforms
  • Knowledge of marketing communications and promotional strategy is an asset
  • Post-secondary degree in a related field is an asset

 

Working Conditions:

Core office hours of 7.5 hours a day, four days a week. The work is mainly keyboarding from a desk/standing desk. Some weekend and evening hours, along with occasional travel, are required.
